How can I make changes to my registration?

Please be aware that we send our tickets by mail prior to the conference. You may edit your details until October 18 to receive your amended ticket by mail. Alternatively, you can also amend your ticket onsite.

When will I receive my ticket?

Your ticket(s) are being sent prior to the show via mail. The mailing starts on May 19, if you signed up after May 30, you can print your ticket onsite at the registration area using your registration code that you have been emailed previously. 

  • Mailing Wave 1: Starting on May 19
  • Mailing Wave 2: Starting on June 7

Can I cancel my registration?

If you are not able to attend once you've registered, your pass is transferable to another member of your practice. If you wish to cancel the ticket , you may receive a 75% refund up until December 15, 2019. Before February 28, 2020, we refund 50% of the registration fee. Before April 30, 2020, we refund 25% of the registration fee. No refunds for registrations will be available after April 30, 2020.

Can I transfer my ticket to another person?

If you are not able to attend once you've registered, your pass is transferable to another member of your practice at any time. Please contact us at (646) 437-9080 or email us at dcvet@closerstillmedia.com to transfer your ticket.

At the moment we only accept the registration via any VISA, MasterCard, American Express, Maestro and Solo. Please note that all fees need to be paid in full at the time of registration. Opening & Exhibition

When does the conference open?


Opening times and exhibit hall hours are:

  • 8:00AM - 6:00PM on Friday, June 19
  • 8:00AM - 6:00PM on Saturday, June 20

Registration and check-in start at 7:45 AM each day, be sure to arrive promptly to ensure an early start to the event.

All our attendee badges are encoded with your name, address, phone, organization, and e-mail address (if applicable). Exhibitors obtain this information only if they scan your badge in the exhibition. If you do not wish to share your information, please do not have your badge scanned.

What public transport is available to use?

If you are planning on taking a train to Washington DC Vet, you might want to plan to arrive at the Southern Avenue Metro — the closest train station to the Gaylord Resort — and take the NH1 Metro Bus towards National Harbor. If your stop is the King Street Metro Station, then take the NH2 Metro Bus towards to National Harbor.

I'm flying to Washington DC Vet, what is the closest airport? 

There are three major airports surrounding the Gaylord National Resort & Convention Center: Ronald Reagan Washington National Airport (DCA), Dulles International Airport (IAD), and Baltimore/Washington International Thurgood Marshal Airport (BWI). 

As a registered attendee, you can access discounted flights for travel.

You will require a visa to enter the United States if you are not a citizen or eligible national of a Visa Waiver Program country.

Session Notes & Proceedings

Will I be able to access and print notes for my sessions prior to the Conference?

As a registered attendee you will receive access to session notes available online through VIN prior to the conference. Details will be sent via email.

Where can I find proceedings and when will they be available?

We will send an email with the details regarding proceedings to all registered attendees once they become available. You will also be able to view and print them at the VIN Cyber Café in the exhibit hall, where high-speed internet access is provided.

I can't find the password to access the online proceedings. What should I do?

Proceedings will be available closer to the event's date. Once they become available, we will notify you via email. If you have received a notification but cannot access the proceedings, please contact the VIN team for assistance at proceedings@VIN.com.

Will I be able to print my notes on site?

You will be able to print proceedings at the VIN Cyber Café in the exhibit hall. Please be aware that only a few print-outs are allowed per attendee.

How many CE hours will I receive?

You can choose from more than 50+ hours of world-class, RACE-approved CE content, earning up to 15 hours of CE.

Is the conference RACE-approved?

Yes! The American Association of Veterinary State Boards RACE committee has approved CloserStill Vet US LLC to continue to conduct continuing education programs.

How do I obtain my CE certificate?

CE certificates will be available to collect from the Attendee Service Area & CE Certificate Collection in the exhibit hall.

Veterinary professionals from Texas and California must track their sessions and bring the completed tracking sheet to the Attendee Service Area & CE Certificate Collection to be signed and collect their certificate before leaving.

How can I track the sessions I attend?

You will receive an Official Event Guide on the day of the conference with a tracking sheet inside to assist with you recording your participation. For more information visit the Attendee Service Area & CE Certificate Collection in the exhibit hall.

Onsite Services

Where do I pick up my event materials?

Please collect your attendee bag at the Bag Collection area; this includes the Official Event Guide, holiday passport book (lunch vouchers), notepad, pens and other information from our sponsors and partners.

Is lunch included in my conference pass?

Lunch and beverage service is included as part of your registration. You will find vouchers in your Holiday Passport Book to be redeemed for lunch and refreshments in the hall.

Coffee, iced tea, and water stations are available throughout each day in the exhibit hall.

Are there any nursing rooms available at the conference?

A mother's room will be available to facilitate the needs of nursing mothers, a refrigerator is provided.

Is it possible to smoke at the venue?

Smoking, including e-cigarettes, is not permitted within the Gaylord National Resort.
